How to
Get the most out of Stedfast.
Stedfast does a lot. Here’s the short version of how to use each piece. Skim the list, jump to whatever you need.
Start your first kit
Tap + on the Kits screen. Either type the name and pick a type, or pick “Start from a template” for a guided set of items (72-hour bag, vehicle kit, beginner pantry, first-aid, EDC, winter storm).
- Kits → + in the top right.
- Optional: tap “Start from a template”.
- Name it, set a location label (where it lives in your house), Save.
Add items to a kit
Tap a kit, then the ··· menu → Add item. You can search the researched catalog (food bars, tourniquets, filters, etc., with realistic shelf-life defaults), scan a barcode, or type it in by hand.
- Open the kit, tap ···, choose Add item.
- Search the catalog, or tap Scan barcode, or skip to manual.
- Fill in quantity, expiration date, weight (optional), notes.
- Save. Repeat.
Attach a photo to an item
Photos help with insurance documentation later and are useful for “what does this look like” spot-checks. Stored on our server, only readable by your household.
- Open an item.
- Tap the camera icon → take a photo or pick from your library.
Bind an NFC tag to a kit
NFC stickers (a few cents apiece on Amazon) make a physical kit one-tap-openable. Stick a tag on a bin, bind it, then tap with your phone to jump straight to the kit.
- Open a kit → ··· → Bind NFC tag.
- Pick “Universal link” (recommended) so the tag still works for guests without the app.
- Hold the phone to the tag. Done.
To scan from the main list: tap the wave icon in the top toolbar, then tap any bound tag. The app opens the kit immediately.
Print QR labels for your bins
Cheaper than NFC for shelves and bins. Scan with any phone’s camera — no app needed for the scan, the universal link does the rest.
- Top-left menu → Print QR labels.
- Pick the kits you want labels for.
- Tap Generate. Save the PDF, print on Avery 5163 (2″ × 4″, 10 per US Letter), stick them on.
Run a preparedness drill
Three flavors, all low-pressure. No streaks, no leaderboards — these are check-ins, not games.
- Tap-to-Find: app says find your bug-out bag, timer starts, NFC-scan the kit to stop the clock. Tells you how reachable it actually is.
- Spot-Check: app picks 3 random items from a kit. Confirm they’re still there and unexpired. Surfaces drift early.
- Scenario: a random emergency lands with a time budget (10 in rotation — earthquake at 3am, wildfire evac, power out, etc.). Self-rate what you grabbed, get a gap report.
- Top-left menu → Drills.
- Tap whichever type, pick a kit (or multiple for scenarios), tap Start.
Schedule drill reminders
Stedfast can nudge you on a cadence so drills actually happen instead of staying good intentions. Pick how often per drill type and which kits are in rotation.
- Top-left menu → Drills → tap the bell icon (top-left).
- Set a cadence for each drill type (Off, Weekly, Monthly, Quarterly).
- Leave Include all kits on, or toggle it off and hand-pick which kits are eligible. Each reminder cycles through them so the same one doesn’t keep getting picked.
- Tap Save. Reminders fire at 8:00 AM local. Pure on-device — no server.
On a Sync household, flip Sync with household to share the cadence and kit selection across everyone. Per-device opt-in: one member can sync while another keeps theirs private.
See your kits on a map
Useful for vehicle kits, caches at a cabin, kits at a parent’s house. Answers “where’s the closest kit right now?”
- Edit a kit and set coordinates (lat/lng) in the location section.
- Top-left menu → Kit map to see all pinned kits, color-coded by item severity.
Push expirations to your iOS Calendar
Stedfast creates a dedicated “Stedfast” calendar in iOS Calendar. Expiration and rotation dates show up as all-day events with a 7-day-prior alarm, right alongside everything else you track.
- Open a kit → ··· → Push dates to Calendar.
- Grant calendar access the first time. Done.
Tune notifications per category
Stedfast picks defaults that match real shelf-life norms — medical 60 days lead, water and batteries 30, food and comms 14, documents 7. Items expiring on the same day batch into one “3 items need attention” ping instead of three separate ones.
- Top-left menu → Account & Sync.
- Tap Notification lead times.
- Pick a custom lead time per category — push batteries to 90 days if your supplier is slow, drop documents to Same day if you renew at the DMV. Hit Save; existing notifications re-schedule immediately.
- Reset all to defaults at the bottom puts everything back.
Track what needs restocking
Anything with quantity zero shows up on the restock list, grouped by category. Share to Notes, AirDrop to your phone, or send to a partner.
- Mark items depleted: swipe an item left in a kit → Restock (sets quantity to 0).
- Open the list: top-left menu → Restock list.
- Tap the share icon to send as plain text.
Generate an insurance documentation PDF
A photo-by-photo proof-of-ownership document for after a fire, flood, or theft. Print one annually, store in a safe deposit box or cloud drive.
- Whole household: top-left menu → Insurance documentation PDF.
- One kit at a time: open the kit → ··· → same option.
- Photos embed automatically. Generation can take a minute for large kits.
Make an emergency wallet card
A foldable card with ICE (in case of emergency) contacts, blood type, allergies, meds, and where your kits live. The non-digital backup for when your phone’s dead or destroyed.
- Top-left menu → Emergency card.
- Fill in what you want included.
- Tap Generate wallet card PDF, print double-sided, fold in half. Two cards per sheet.
Card data stays on your phone only — it’s never sent to our server.
Export everything (CSV, PDF)
CSV for spreadsheets and re-imports. PDF for printing or sharing. Both work per-kit or for the whole household.
- One kit: open it → ··· → Export CSV/PDF. Or swipe a kit row in the list.
- Everything: top-left menu → Export everything (CSV/PDF).
Share kits with your household (or someone else’s)
Requires Stedfast Sync. Two flavors: invite someone to your household (full membership — same kits, roles for parents/kids), or share a single kit across households (your brother sees your freeze-dried food, you see his beach-house kit).
- Household invite: open the menu → tap your household name → members. Send an invite email; recipient signs in and accepts.
- Cross-household share: open a kit → ··· → Share with someone outside household. Send the link; they accept; kit appears in their list with a “shared with you” badge.
AirDrop a kit to a friend
Send any kit to someone else’s phone as a file. Works without accounts, without internet, without Stedfast Sync — and unlike household sharing, your friend owns their copy once it lands. Good for “here’s my pantry list, copy what you like” or splitting a camping load across four phones.
- Open the kit → ··· → Share kit (AirDrop).
- iOS share sheet appears with AirDrop / Messages / Mail / Files. Pick how you want to send the
.stedfast-kitfile. - On the recipient’s device, tapping the file opens Stedfast with an import sheet showing the kit name, item count, and exported date.
- Tap Import to add it.
Sending an updated version later? The receiver’s app recognizes the kit as the same one (a stable id lives inside the file) and offers Replace (overwrite items and pockets, keep their NFC tag binding and mute setting), Keep both, or Cancel.
Photos aren’t included in shared kits yet — items land without their photos.
Unlock Stedfast Sync
One-time $9.99. Cloud backup, multi-device sync, all sharing. No subscription.
- Top-left menu → Account & Sync.
- Tap Unlock for $9.99.
- If you bought on another device, hit Restore purchases in the same screen.
Reset your password
If you forget it:
- On the sign-in screen, tap Forgot password?.
- Enter your email. We email a link that’s good for one hour.
- Open the link, set a new password, sign in.
